SMS Policy
Pro Forma SMS Messaging Policy

This page documents Pro Forma's SMS messaging program — who receives messages, the transactional purposes of those messages, how recipients opt in, and how they opt out. It is published at a public URL so that carriers, aggregators, and messaging registries can review our consent process without login credentials.
About Pro Forma
Pro Forma Services, LLC operates a technology platform that provides marketing and leasing technology to property management companies and real estate owners (our "clients"). On behalf of its clients, Pro Forma hosts public property listing websites and provides an application used by clients' leasing professionals. Pro Forma operates a single transactional SMS program: notifications sent to authenticated users of its platform (leasing and property-management staff) who have opted in. Pro Forma does not send SMS to prospective or current renters; those communications are sent by the property management company or licensed real estate brokerage whose listing site the messages relate to (the "Operator"), as described under "Messages to Prospects and Residents" below.
All Messages Are Transactional
Every SMS message Pro Forma sends is transactional or informational. Pro Forma does not send marketing, promotional, or advertising messages by SMS. Enrollment in Pro Forma's SMS program is optional and is never a condition of any purchase, service, or use of the platform.
Pro Forma Platform Notifications (Authenticated Users)
Who receives these messages. Authenticated users of the Pro Forma application — leasing agents, leasing managers, regional property managers, and property-management staff employed by Pro Forma's clients — who have opted in within their account. Accounts are created on invitation from a client administrator through our identity provider, WorkOS; there is no public self-service signup.
What messages are sent. Transactional notifications about activity the user manages, such as new tour activity at the user's properties, prospect inquiries escalated for human review, and account or security notices.
Sample messages.
- Pro Forma: New tour scheduled at [Property Name] on Thursday at 2:00 PM. View in app: [link]. Reply STOP to unsubscribe.
- Pro Forma: A prospect inquiry at [Property Name] needs your review. Open: [link]. Reply STOP to unsubscribe.
How users opt in. SMS is optional and is not a condition of using the platform. A logged-in user goes to Settings → Notifications (app.proformahq.com/settings/notifications), enters their mobile number into an empty, non-prepopulated field, and affirmatively checks an unchecked consent checkbox. Enrollment completes only when a valid number is entered, the box is checked, and the user saves changes. The checkbox displays the following disclosure:
"By checking this box and providing my mobile number, I agree to receive transactional SMS notifications from Pro Forma about my account and activity at properties I manage. Enrollment is optional and is not a condition of using the platform. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. View our Privacy Policy and Terms of Use. Pro Forma will not share or sell your mobile opt-in information to third parties or affiliates for marketing purposes."
Because this opt-in occurs inside the authenticated application, it is not reachable from the public internet. Annotated screenshots of the full in-app consent experience, and reviewer test credentials, are available to carriers, aggregators, and registries on request (see the note below).
Messages to Prospects and Residents
Pro Forma does not send SMS or other messages to prospective or current renters. Any text messages, calls, or other communications a prospect or resident receives in connection with a property listing are sent by the Operator — the property management company or licensed real estate brokerage whose listing site the person used — and not by Pro Forma. Pro Forma hosts the listing site and acts only as a technology provider to the Operator.
Those communications are governed by the legal terms posted on the listing site the person used, which Pro Forma hosts on the Operator's behalf. The Operator is responsible for obtaining any required consent, honoring opt-out requests, and complying with all applicable communications laws. Prospects and residents should refer to the legal terms posted on the listing site they used for the terms that govern those communications and for the Operator's opt-out and contact details.
Message Frequency
Message frequency varies with activity — the tours, inquiries, and leasing events relevant to each recipient.
How to Opt Out
Recipients may stop messages at any time by replying STOP to any Pro Forma message. Other recognized opt-out keywords include STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE, and OPTOUT. After opt-out, Pro Forma sends a single confirmation message and sends no further messages to that number. Opt-outs are honored promptly and within the time required by applicable law. Platform users may also disable SMS in Settings → Notifications. Opting out has no effect on a user's access to the platform.

Message and Data Rates
Standard message and data rates from the recipient's mobile carrier may apply. Pro Forma does not charge for SMS messages.
Privacy and Data Handling
Our collection and handling of mobile numbers and message content is governed by our Privacy Policy and Terms of Use. No mobile information or SMS opt-in/consent data is shared with, sold to, rented to, or otherwise transferred to third parties or affiliates for marketing or promotional purposes. Mobile numbers are used solely to deliver the transactional messages described in this policy and to maintain consent records as required by the Telephone Consumer Protection Act.
Note for Carriers, Aggregators, and Registries
Pro Forma operates a single transactional A2P messaging program, described above: transactional notifications sent to authenticated users of the Pro Forma application (leasing and property-management staff). This program collects consent inside an authenticated application; because that screen is not publicly reachable, annotated screenshots of the full consent experience and reviewer test credentials are available on request. Pro Forma does not send SMS to prospective or current renters — any such consumer messaging is sent by the Operator (the property management company or licensed real estate brokerage) on the listing site Pro Forma hosts, and is governed by the legal terms posted on that listing site.
